How to Build a Complete Trade Show Display Kit on Any Budget
Trying to plan your next trade show stand but not sure what to buy first? A complete display kit doesn’t have to be complicated or expensive.
At Xpo Displays, we’ve helped UK exhibitors at NEC Birmingham, ExCeL London and Olympia build ready-to-go trade show kits that fit in a car boot, set up in under 20 minutes, and pay for themselves after 1–2 events. This guide walks you through how to build a full exhibition display kit step by step, from bare minimum to pro-level setups.
Step 1: Define Your Stand Size & Goals
Start with what you actually booked.
Answer these questions:
• What size is your stand? (e.g. 3x3m, 3x2m, shell scheme or space only)
• Is your goal brand awareness, lead capture, or on-stand sales?
• How many staff will be on the stand at once?
• Are you exhibiting at NEC, ExCeL, Olympia or smaller regional venues?
Simple rule: small teams and first-time exhibitors should focus on visibility + lead capture before anything else.
Step 2: Choose Your Core Display (Start Here)
Your core display is the visual anchor of your kit.
| Core Display | Best For | Setup | Budget |
|---|---|---|---|
| Roll-Up Banner (1000x200cm) | First-time exhibitors, tight aisles | 30 seconds, 1 person | £100–£150 |
| 3x3m Pop-Up Stand | 3x3m spaces, brand storytelling | 10–15 minutes, 2 people | £350–£550 |
| Modular System | Multiple shows, changing stand sizes | 20 minutes, 2 people | £700–£1,200 |
Recommendation:
• 3x3m at NEC: 3x3m pop-up as the main backdrop.
• 3x2m at ExCeL: 1000x200cm roll-up as the main display.
• Corner at Olympia: modular or curved pop-up for premium look.
Step 3: Add Essential Support Pieces
Once the core display is sorted, add the essentials that make it usable on the day.
Must-have add-ons:
• Counter – for samples, sign-ups, and hiding bags/gear.
• LED lights – clip-on lights for pop-ups or roll-ups to stand out in dim halls.
• Carry cases – wheeled cases that double as plinths save time and money.
Typical costs:
• Counter with printed wrap: £150–£250
• LED light kit: £40–£80 per display
• Wheeled transit case: £80–£150
Step 4: Build Your Lead Capture System
Displays get people looking. Lead capture turns that attention into revenue.
Simple but effective lead capture kit:
• QR code on every banner and counter linking to a dedicated landing page.
• Brochure holder (counter top or freestanding) to keep literature tidy and visible.
• Tablet or iPad stand for digital forms and demo videos.
• Business card bowl with a small prize draw to encourage entries.
Rule of thumb: aim to collect at least 1 qualified lead per 10 visitors to your stand.
Step 5: Plan Around Your Vehicle & Team
There’s no point buying kit that won’t fit in your car or that only a four-person crew can build.
For car-based exhibitors:
• 1 pop-up stand + 2 roll-up banners + counter will usually fit in a standard boot.
• Choose carry cases with wheels so one person can move everything from car park to hall.
• Avoid overly heavy wooden counters or non-folding structures.
For small teams (1–2 people):
• Pick displays that one person can deploy safely in under 15 minutes.
• Practice a full set-up at your warehouse or office before the event.
Step 6: Match Your Kit to Common UK Venues
Quick venue matching:
• NEC Birmingham – wide aisles: pop-up stand + 2 roll-ups + counter.
• ExCeL London – narrow aisles: 2 roll-ups + counter, keep depth within 85cm.
• Olympia London – premium: curved pop-up + lit counter + minimal, clean graphics.
Once you know where you’ll be exhibiting most, you can standardise a kit that works at each venue with only small tweaks to graphics.
Step 7: Example Kits for Different Budgets
Starter Kit (around £300)
• 1x 1000x200cm roll-up banner
• 1x 800x200cm roll-up banner
• Basic brochure holder
Best for: first-time exhibitors, small 2x2m or 3x2m spaces.
Growth Kit (around £700)
• 1x 3x3m pop-up stand
• 1x 1000x200cm roll-up banner
• 1x counter with wrap
• LED lights for main displays
Best for: regular exhibitors at NEC and ExCeL with 3x3m stands.
Pro Kit (from £1,200)
• Modular back wall (reconfigurable)
• 2x 1000x200cm roll-up banners
• 1x premium counter with storage
• LED lighting kit and accessories (tablet stand, brochure holder)
Best for: brands attending multiple shows a year with varying stand sizes.
Step 8: Final Checklist Before You Order
Before you click “buy”, confirm:
• Your stand size and height limits from the organiser.
• Vehicle space and how many people will be on build-up.
• If you need fire certificates or material specs for certain venues.
• That your artwork templates match the exact hardware sizes.
